Tetra Tech is adding a Document Control Coordinator to our Document Control team based in Calgary, AB. This is a new position for which we are actively recruiting.

Your Role

  • Manage the document control function and ensure compliance with company, project, and client standards and procedures.
  • Record, track, and distribute internal and external project documentation.
  • Coordinate the timely transfer of electronic files between engineering consultants, project teams, construction teams, contractors, and vendors.
  • Maintain document control databases, records, and filing systems through accurate data entry and document management.
  • Prepare transmittals, scan and file documents, and provide general document control and administrative support.
  • Assign and maintain control of drawing numbers, equipment numbers, instrumentation tags, and line numbers.
  • Review request forms and drawings to ensure required information is complete and accurate prior to processing and issuance.
  • Monitor document control and engineering workflows to ensure processes and procedures are being followed.
  • Ensure drawings and documents comply with client standards, specifications, and document control requirements.
  • Maintain and distribute current client standards and controlled documentation.
  • Perform quality assurance checks on externally distributed records and documentation.
  • Develop and maintain positive working relationships with clients and internal stakeholders.
  • Recommend process improvements and develop work instruction drafts for review and approval as required.
  • Conduct activities in line with internal procedures, legislation, and industry standards.
  • Pursue continuous professional development and maintain a high degree of discipline knowledge and awareness.
  • Work in a safe manner at all times and report all health and safety incidents and concerns.
  • Additional duties as required.

Qualifications

  • 4–8 years of progressive document control experience, preferably within an engineering, EPC, or technical project environment.
  • Experience within the oil & gas industry is considered an asset.
  • Post-secondary education in business administration, information management, engineering technology, or a related field is considered an asset.
  • Experience working in an engineering environment, including reviewing and issuing work packages, reports, drawing requests, and processing vendor documentation, is an asset.
  • Experience with SharePoint, ALIM, and Adobe Pro an asset.
  • Able to multi-task and manage a varied workload.
  • Must be capable of decision-making within defined role and displays strong initiative.
  • Excellent verbal and written communication skills, able to work well within a consultative team-oriented environment.
  • Excellent personal interaction skills; outgoing, confident, and strong personal presentation.
  • Self-starter, willing to learn, seeks out opportunities for career and personal development.
  • Strong organizational skills.
