The Opportunity

Tetra Tech is adding an Administrative Assistant to our Admin team based in Nanaimo, BC.

We are seeking a positive, professional, and customer-focused individual to join our Nanaimo Branch as an Office Administrative Assistant. In this role, you will provide a variety of administrative support services while also serving as the first point of contact for clients, vendors, and other office visitors. This full-time position offers a diverse range of responsibilities in support of the Nanaimo Branch and other teams within the office. Our office hours are Monday to Friday, 8:00 a.m. to 5:00 p.m.

The salary range for this position is $60,000 - $70,000 per year. Please note that Tetra Tech considers various factors in determining pay, including but not limited to: education, relevant and demonstrated work experience in the role, skills, geographic location, qualifications, certifications, and other competencies relevant to the needs of the business.

Your Role

  • Greet visitors and provide professional front-desk reception support.
  • Format, proofread, and prepare reports, proposals, correspondence, and other documents.
  • Create and edit PDFs using Adobe Acrobat or similar software.
  • Support the Office Manager and project teams with invoices, expenses, timecards, filing, and project setup.
  • Maintain office files, archives, and document libraries.
  • Assist with travel arrangements, meetings, staff events, and general office coordination.
  • Help keep the office organized, well-stocked, and safe.
  • Perform other related duties as required.

Qualifications

  • Post-secondary education in office administration or a related field preferred; equivalent experience will be considered.
  • 5+ years of administrative and/or reception experience, ideally in an engineering consulting environment.
  • Strong proficiency with Microsoft Office and Adobe Acrobat Pro.
  • Excellent communication, spelling, grammar, and proofreading skills.
  • Strong organization, time management, and attention to detail.
  • Professional, discreet, and able to manage multiple priorities in a fast-paced environment.
