The Opportunity

Tetra Tech is adding a HFAM Program Support Specialist to our Fuels Program team based in Collinsville IL.

Your Role

The HFAM Program Support Specialist provides administrative, technical, and operational support for the DLA Hydrant Fuels Automation Maintenance program. This position supports day-to-day coordination between DLA, subcontractors, and Tetra Tech, with a primary focus on ServiceNow (SNOW) administration, case management, work order processing, reporting, scheduling, procurement support, inventory tracking, and maintenance documentation.

The ideal candidate is highly organized, detail-oriented, and experienced in managing multiple priorities across a large, distributed maintenance program supporting 103 DLA site locations.

Key Responsibilities

  • Serve as a ServiceNow (SNOW) administrator/user support resource for HFAM program activities.
  • Create, update, track, and close cases and work orders in both DLA ServiceNow (SNOW) and Tetra Tech’s Repair and Maintenance System (RAMS).
  • Perform case management for 103 DLA site locations (CONUS and OCONUS), ensuring timely follow-up and resolution.
  • Act as a liaison between DLA, subcontractors, and Tetra Tech to coordinate maintenance activities, schedules, and issue resolution.
  • Support general procurement activities, including coordination of requisitions, vendor communication, and status tracking as directed.
  • Assist with scheduling of site visits, maintenance actions, and coordination of field activities.
  • Generate and distribute weekly, monthly, and quarterly reports related to maintenance status, open cases, work order activity, inventory, and program performance to the HFAM Program Manager.
  • Track site inventory for 103 DLA sites (CONUS and OCONUS), including records of equipment, materials, and maintenance-related assets.
  • Submit site visit requests and coordinate approval/documentation as needed.
  • Upload preventative maintenance and corrective maintenance reports to the DLA ServiceNow database.
  • Ensure data entered into SNOW, RAMS, and related tracking tools is accurate, complete, and current.
  • Maintain organized records of maintenance actions, correspondence, reports, and supporting documentation.
  • Support program compliance with contract requirements, reporting deadlines, and administrative procedures.
  • Perform other related duties as assigned in support of the HFAM program.
  • Conduct activities in line with internal procedures, legislation, and industry standards.
  • Pursue continuous professional development and maintain a high degree of discipline, knowledge and awareness.
  • Work in a safe manner at all times and report all health and safety incidents and concerns.
  • Additional duties as required.

Qualifications

  • Associate degree or equivalent work experience in administration, operations, logistics, or a related field.
  • Experience working with ServiceNow (SNOW) or similar case/work order management systems.
  • Strong organizational and time-management skills.
  • Ability to manage multiple tasks across a large multi-site program.
  • Proficiency with Microsoft Office Suite, especially Excel, Word, and Outlook.
  • Strong written and verbal communication skills.
  • Ability to coordinate effectively with internal teams, subcontractors, and government stakeholders.
  • High attention to detail and ability to maintain accurate records.

Preferred Qualifications

  • Experience supporting DLA, DoD, fuels, utilities, facilities, or maintenance programs.
  • Familiarity with RAMS or similar repair and maintenance tracking systems.
  • Experience preparing recurring operational reports and dashboards.
  • Experience supporting procurement, logistics, inventory control, or maintenance coordination

Language & Communication Skills: Candidate must be fluent in the English language, speaking, writing, and reading. In addition, successful candidate must be able to prepare written technical documents.
