POSITION SUMMARY
d-Matrix is seeking an experienced Facilities Manager to oversee our global facilities portfolio — offices and labs in Santa Clara, San Jose, and Carlsbad (US), Sydney (Australia), Bengaluru (India), and Belgrade (Serbia) — plus upcoming expansions and new build-outs. Based at our Santa Clara HQ and reporting into Finance, this hands-on leadership role is responsible for day-to-day operations across all sites, leading construction and relocation projects end-to-end, managing facilities personnel, and establishing global workplace standards. The ideal candidate brings deep expertise in workplace and lab infrastructure, strong project and vendor management skills, and the interpersonal ability to drive a safe, high-performance environment across multiple geographies.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Facility Expansion & Build-Out: Lead planning and execution of new office and lab build-outs, expansions, and major upgrades. Serve as owner's representative — working with external PMs and design/construction vendors — to ensure projects meet scope, schedule, budget, and quality requirements.
Relocation & Workspace Setup: Coordinate all move logistics, furniture/fixture installations, and contractor scheduling to ensure smooth transitions with minimal business disruption. Partner with Corp IT/Security to ensure workstations, labs, and AV/IT infrastructure are ready on Day One.
Facility Readiness & Compliance: Conduct site inspections and system testing upon construction completion to verify all building systems (HVAC, electrical, plumbing, life-safety) are functional and code-compliant. Manage punch-list corrections and occupancy certifications.
Vendor & Contractor Management: Oversee GCs, architects, engineers, furniture vendors, movers, and ongoing service providers (janitorial, HVAC, kitchen services). Negotiate contracts and SLAs; hold vendors accountable to performance and budget expectations.
Facilities Operations & Maintenance: Own day-to-day facility operations. Implement preventive maintenance programs for all building systems and coordinate prompt repairs to minimize downtime for both office and lab teams.
Laboratory Infrastructure Support: Ensure lab spaces have appropriate infrastructure (ventilation/exhaust, specialized plumbing, gas lines, temperature controls, fume hood systems). Schedule maintenance to minimize disruption to R&D activities. Note: lab equipment itself is out of scope.
Environmental Health & Safety (EHS): Serve as site EHS lead for workplace safety and environmental compliance. Enforce safety procedures, ensure OSHA and fire code compliance, conduct inspections, and coordinate required training and emergency drills. Liaise with corporate EHS and local regulatory agencies as needed.
Staff & Team Management: Hire, train, and supervise facilities staff, including temporary move support and full-time coordinators or technicians. Foster a culture of accountability, customer service, and responsiveness. (Physical security is owned by Corp IT/Security; this role partners closely with that team.)
Multi-Site Coordination: Manage the full global portfolio and develop standardized processes and best practices that scale across geographies. Ensure consistency in workplace standards, building systems, and vendor selection. Expect approximately 10–15% domestic and occasional international travel.
Real Estate & Lease Administration: Partner with Finance, Legal, and external brokers on site selection, lease negotiations, renewals, and exits. Maintain centralized records of all leases, key dates, and landlord obligations. Manage TI allowances, lease compliance, and landlord relationships.
Space Planning & Workplace Strategy: Maintain accurate floor plans, seating charts, and utilization data. Partner with People Ops, Finance, and business leaders to forecast space needs, model occupancy scenarios, and recommend reconfigurations or expansions as headcount evolves.
Budgeting & Planning: Manage facilities budgets for both build-out and ongoing operations. Track expenditures, negotiate cost-effective contracts, identify savings opportunities, and contribute to long-term space planning.
REQUIREMENTS
Education & Experience
Bachelor's degree in Facilities Management, Engineering, Construction Management, Business Administration, or equivalent experience. IFMA CFM/FMP, OSHA 30, or PMP certifications a plus.
5+ years of facilities management experience in a multi-site or campus environment, including 2–3 years in a laboratory or R&D setting.
Proven track record leading office/lab build-outs, relocations, or major facility upgrades from planning through execution.
Technical Knowledge
Strong working knowledge of building infrastructure: HVAC, electrical, mechanical, and plumbing systems.
Familiarity with lab-specific requirements: air handling, chemical exhaust, compressed gases, and lab utilities.
Ability to read blueprints and MEP plans; experience collaborating with architects and engineers.
EHS & Compliance
Solid understanding of OSHA regulations, building codes, and safety best practices for office and lab environments.
Experience developing safety programs and coordinating with compliance officers or inspectors.
Project & Vendor Management
Strong project management skills across complex timelines, budgets, and multi-vendor coordination.
Proven ability to negotiate contracts and hold vendors accountable to quality and performance standards.
Leadership & Communication
Demonstrated ability to lead cross-functional teams and internal staff through complex projects and change.
Exceptional communication skills; able to engage effectively with executives, engineers, scientists, and administrative staff.
Other
Hands-on, self-starter with strong organizational skills and attention to detail.
Comfortable on-call for facilities emergencies; able to lift 40–50 lbs and oversee physical site work as needed.
Familiarity with CMMS, BMS, and standard office software for budgeting and reporting.
